These terms are the agreement between you and TenancyVaults for using this website and the TenancyVaults app. Please read them before you pay.

What TenancyVaults does

TenancyVaults helps landlords in England and Wales prepare their evidence for a tenancy deposit dispute with TDS, DPS or mydeposits. It reads the files you upload, organises them, describes what they show, works out the scheme’s deadline, and puts together an evidence pack and statement for you to check and submit.

TenancyVaults is an evidence preparation tool. It is not legal advice, and it doesn’t tell you whether you should claim or what the adjudicator will decide. See Not legal advice.

Your responsibilities

  • You check everything in your pack before you submit it. You submit your evidence to the scheme, and you’re responsible for what it says.
  • You meet the scheme’s deadlines. Our deadline calculator is a guide: always check the date in the scheme’s own notice.
  • You have the right to upload your files, and a lawful reason to use any personal data in them, such as your tenant’s name, for your deposit dispute.
  • You keep your sign-in email secure.
  • You don’t use TenancyVaults to upload anything unlawful, to harm others, or to try to break or overload the service.

AI and accuracy

TenancyVaults uses AI to read your files and draft wording. AI can make mistakes: it can miss something, misread a document or describe a photo wrongly. Every description, link between evidence and deduction, and sentence in your pack is a draft for you to check and change. Before you can download your pack, you confirm that you’ve checked it.

Price and payment

Using the app to collect and check your evidence is free. To build your evidence pack, you pay £49 for that case, once, by card through Stripe. The price is shown before you pay.

Refunds

If you change your mind after paying but before your pack has been generated, email help@tenancyvaults.co.uk and we’ll refund you in full.

Once your pack has been generated, the service has been provided, so we don’t give refunds. If something has gone wrong with your pack, email us and we’ll put it right.

This doesn’t affect your rights under consumer law.

Your content

Your files, case details and pack belong to you. You let us store and process them only to provide TenancyVaults to you, as our privacy notice explains. You can download your pack and delete your case at any time.

Availability

We aim to keep TenancyVaults available at all times, but we can’t promise it will never be interrupted. If the service is down close to your deadline, contact the scheme: some will allow more time.

Our liability

We are responsible for preparing your pack with reasonable care and skill. We are not responsible for the outcome of your dispute, for decisions made by the scheme or its adjudicator, or for deadlines missed. Our total liability to you for a case is limited to the amount you paid for it.

Nothing in these terms limits liability that can’t be limited by law, such as for death or personal injury caused by negligence, or for fraud.

Ending your use

You can stop using TenancyVaults and delete your cases at any time. We may suspend or close an account that breaks these terms, after telling you why where we can.

Changes to these terms

We may update these terms. The date at the top shows when they last changed. Changes don’t apply to a case you’ve already paid for.

The law

These terms are governed by the law of England and Wales, and disputes go to the courts of England and Wales.
