Why TenancyVaults

What makes TenancyVaults different?

It does one job. It gets your side of a TDS, DPS or mydeposits dispute onto paper the way an adjudicator reads it. Each deduction sits beside its evidence, reduced for age where it should be, and you see how each one stands before you pay.

Why does a deposit dispute need preparing?

Because it’s decided on paper. The adjudicator never visits the property and decides only on what each side sends (Guide to Deposits, Disputes and Damages). The deposit stays the tenant’s money until you show you’re entitled to keep some of it.

When a deposit goes back to the tenant, it’s usually because the landlord’s case wasn’t strong enough to keep it (TDS). The evidence is often there. It’s spread across a phone, an inbox and a folder of receipts, with the deadline a few days away.

What does TenancyVaults do with your evidence?

It turns a pile of files into a case the adjudicator can follow, one deduction at a time.

  1. It reads the scheme’s notification. Upload it and your deductions are listed for you, along with the tenant’s response if you have it. You can change any of them.
  2. It sorts and dates every file. Inventories, photos, videos and invoices go in at once. Each one is sorted and dated, and your originals are never changed.
  3. It sets check-in beside check-out. Each deduction gets the two side by side, with what the reports say about it.
  4. It shows how each deduction stands. Each one gets an evidence strength of strong, moderate or weak, with any gaps listed and what would fill them. You see this before you pay.
  5. It reduces old items for age. A replacement is charged for the life the item had left, using your scheme’s own lifespans. The deposit deduction calculator shows the same sum, free.
  6. It builds the pack. A statement written from your evidence, a page for each deduction, every exhibit numbered and renamed to match, and an upload checklist in your scheme’s order.

Most cases take about 15 minutes. The sample case walks through every step, from the scheme’s notification to the finished pack.

How is that different from doing it yourself?

Doing it yourself costs nothing but time, and the work is the same every time. You match each photo to the right deduction and check it against the check-in report. You work out what an old carpet was still worth. Then you write a statement, number the exhibits and rename every file to match.

The details catch people out. DPS’s online form takes a statement of up to 1,000 characters (DPS). TenancyVaults keeps your statement inside your scheme’s limit and counts it for you. It also works out when your evidence is due, and emails you 3 days and 1 day before.

It can’t create evidence you don’t have. If a check-in report or an invoice is missing, it tells you while there’s still time to find it.

How is it different from a solicitor?

A solicitor can tell you where you stand in law and act for you. If that’s what you need, a solicitor is the right person to ask.

If what you need is your evidence in order before the scheme’s deadline, that’s the job TenancyVaults does, for a fixed £49 a case.

What’s in the deposit dispute pack?

  • The cover. The property, the scheme, the tenancy and the amount claimed, with a list of what’s inside.
  • Your statement. One statement for the whole claim, written from your evidence, with every fact tied to an exhibit.
  • A page for each deduction. How the amount was worked out, check-in and check-out photos side by side, what the reports say, and the costs.
  • An upload checklist. What to upload and in what order, with your deadline at the top.

Every exhibit comes renamed to match, zipped and ready for your scheme’s upload page. Where your tenant has agreed to part of the claim, the schedule shows what’s agreed and what’s still in dispute.

What does it cost?

It’s free to start. Upload your evidence and see how each deduction stands before you pay anything. When you want the finished pack, it’s £49, once, for that case. If you change your mind after paying, you get a full refund until the pack is built (pricing).

The Evidence Locker records each tenancy as it happens, from a guided check-in on your phone. With a subscription, a deposit dispute pack is free for a tenancy whose check-in you completed in the app, one per tenancy. Other packs are £29 for subscribers. The Locker is £4.99 a month for your first property (terms).

What happens to your evidence?

  • Your original files are never changed. Copies of photos have their location data removed.
  • Your files are stored in the UK, in London (privacy notice).
  • Anthropic’s Claude reads and sorts your evidence. Anthropic doesn’t use it to train its models.
  • You can delete a case whenever you like. Otherwise it’s deleted 24 months after you last used it, and we email you 14 days before.

What doesn’t TenancyVaults do?

  • It doesn’t give legal advice or predict the result. The adjudicator decides each case on its evidence.
  • It doesn’t submit for you. You read the pack, change any wording you like, and submit it to your scheme.
  • It doesn’t contact your tenant. We don’t ask for your tenant’s contact details.

Questions

Is TenancyVaults free to use?

It’s free to start. You can upload your evidence and see the evidence strength of each deduction without paying. The finished deposit dispute pack is £49, once, for one case.

Which deposit schemes does it work with?

The Tenancy Deposit Scheme (TDS), the Deposit Protection Service (DPS) and mydeposits, for tenancies in England and Wales, custodial and insured.

How long does it take?

Most cases take about 15 minutes. That’s a couple of minutes to list your deductions, a few to upload your evidence, and a few more to read the pack through.

Can I see a finished pack before I start?

Yes. The sample case at /demo follows a two-year tenancy with four deductions, from the scheme’s notification to the finished pack.

What if my tenant has already responded?

Upload the tenant’s response with the scheme’s notification. The points your tenant makes are read out of it, and anything they’ve agreed to is marked, so the pack shows what’s agreed and what’s in dispute.

Can I change what the pack says?

Yes. The statement is written from your evidence, and you can change any of it before you download the pack.
